Reservation Policy
The rates at VK are carefully considered to maximize value for our guests while allowing us to keep creating that value, as such, rates are subject to change.
50% of rental amount is due at time of booking and remaining 50% due 7 days prior to arrival.
Group trips at Vanderkamp are unforgettable. When booking, please keep maximum occupancy rules in mind. Two people max for rooms with 1 bed (Queen or King) and four people max for rooms with multiple beds.
We love children, but you must be at least 25 years old to book a stay with us and you must be present for the entire stay at VK.
Cancellation Policy
Life happens. We understand. Reservations are fully refundable if cancelled 7 days prior to check-in for our smaller lodges (Wohlleben Cabin, Langston Cottage and the Boathouse). Reservations are fully refundable if cancelled 30 days prior to check-in for our large lodges (Frank Soule Lodge). To cancel a reservation, please email us at info@vanderkampny.com.
Pet Policy
Vanderkamp does not allow any pets in Frank Soule Lodge, Langston Cottage, or The Boathouse.
Well behaved dogs are welcome at Wohlleben Cabin, please observe the following rules:
- Non-refundable Pet Stay Fee: $75.00 per dog (maximum of 2 dogs per lodge).
- Dogs must utilize nature's outdoor setting as their restroom. Please be respectful to all guests enjoying the property and be sure to clean up after your pet.
- Dogs must be leashed whenever they are in close proximity to other guests enjoying the property.
- We realize pets will be pets, especially in unfamiliar settings, in the event of chronic disturbances to other guests on the property, we may require you to make other arrangements for your pet or check out of the lodge.
- We reserve the right to charge the credit card provided at booking for any necessary deep cleaning fees and fees commensurate to the cost of any damages, should your pet damage any property at the lodge.
Smoking Policy
Take a deep breath of clean woodland air. All Vanderkamp lodgings are non-smoking. This applies to both traditional smoking methods and all electronic delivery systems, including vapes, vaporizers, vape pens, hookah pens, electronic cigarettes (e-cigarettes or e-cigs), e-pipes, and any variations of the foregoing regardless of the product’s name. Any smoking in the rooms or strong lingering smoking scents in rooms will result in a disappointed expression and an incidental charge. Smoking is permitted outdoors, but no trace should be left behind, or again, you may risk losing your deposit.
Check In
Check in is anytime after 4pm at Frank Soule Lodge, and anytime after 3pm at all of the smaller lodges (the Boathouse, Langston cottage, and Wohlleben cabin).
Vanderkamp provides a unique automated check in and hospitality experience. We want you to feel like you own your lodge during your stay. We will be available if you need us, but otherwise we will leave you in peace to experience the property. You will be sent your unique door code via our Lynx software 24 hours prior to arrival. This code is only good from your scheduled stay and will expire at 10am the day of check out. Entering your code automatically notifies us that you have checked in.
The Vanderkamp main entrance is located at 1 Vanderkamp Center Drive Bernhards Bay, NY 13028. Follow on site signage to arrive at your specific lodge.
Check Out
Check out is by 10am at all lodges. Later check-out times may be requested, although we may not always be able to accommodate late checkouts depending on availability and time of year.
To check out please enter your unique check out code into the front door lock. This will automatically notify us you have checked out of your unit and notify our cleaning staff they can start cleaning. Technology can be a beautiful thing.
All lodgings must be left tidy and in good condition with furniture in the exact location as it was found upon arrival. All trash must be placed in bags, tied (tightly), and placed in outdoor containers or directly in the dumpster near the barn (see map).
Please load and run the dishwasher (if the lodge has one) or wash dirty dishes and put in drying rack. (If you are feeling extra helpful all dishes can also be put away.)
Please note that a more detailed inspection of the lodging is typically made after the designated check-out time. We reserve the right to make charges for any damages, breakages, or violations found prior to the lodgings next occupant taking possession.
Shut and lock all windows and doors. Turn off all lights.
Please ensure you have all personal belongings prior to leaving! Vanderkamp is not responsible for lost or forgotten personal items.
Extending Your Stay
After you have booked a stay with Vanderkamp, you may extend your stay (depending on availability) by simply letting us know at info@vanderkampny.com. If you are already staying with us and you would like to stay longer, please let us know at least 24 hours before your check-out date. We will do our best to accommodate your new plans, this may include relocating you to a similar lodge should this be necessary.
House Policy
We hope your time at VK is immersive, restorative, and filled with much merrymaking. But, if things take a turn to the destructive, then we adhere to the adage ‘you break it, you buy it’. Property damages or missing items will be charged to your deposit at market value.
Pre-existing damages or issues with the lodge must be reported to us by email (info@vanderkampny.com) immediately after check-in to avoid responsibility and potential charges.
Sing, play, passionately debate philosophical questions all day long, but from 10:00 p.m. to 7:00 a.m. the whole property goes into hush mode for what we like to call- Quaint Uninterrupted Internal Exploring and Thinking Time or… QUIET time for short.
No parties or events allowed at any lodge or on the property without prior permission.
No Fireworks of any kind are permitted on the property.
Please Note: Immediate termination of the rental agreement is possible if:
Any of our terms and conditions are violated
More guests stay in the property than agreed
Excessive noise is made at anytime of day that disturbs other guests, especially during quiet hours.
Sub-letting the property you have rented (or giving it to other people).
Authorized Credit Card for Incidentals
The credit card used to book the reservation will be held on file for incidentals and is subject to deductions for any of the following reasons:
The unauthorized moving of beds and/or furniture. $100 charge
Smoking in or immediately near premises / not removing all traces of use: $500 charge
Pets on site without permission: $500 charge
Excessive cleaning: Time for housekeeping over and above normal housekeeping
Damage to property: Amount to replace or repair
Excessive occupancy in violation of maximum occupancy limit: $500 charge
Excessive noise after 10pm: $500 charge
Parking Policy
Vacations should be stress-free and for that reason, you get to park right in front of your unit (or super close) in designated parking areas. Parking is not permitted on the grass. Overflow parking is available in large parking lot near the central Commons Building. By parking a vehicle at our facility, you (and your guests) are doing so on your own accord. Vanderkamp does not take responsibility or accept liability for damage, accident or loss to your vehicle or personal property.
Use of The Outdoors
Vanderkamp is yours to explore, just be careful. Hike, bike, swim, snowshoe, cross country ski, sleigh ride or ice skate at your own risk. Some trails are not marked well or at all. We do our best to maintain trails through the property, but expect terrain to be unlevel and some trees to be down across trails. There are some great apps to help you navigate the woods, such as onX Hunt (has a 7 day free trial), google earth, etc.
Hunting, Fishing, Wildlife Policy
We love the animals we have at Vanderkamp. No Hunting of any kind is permitted on the property.
Fishing is permitted, but ALL fishing is catch and release in order to ensure an amazing fishing experience at Vanderkamp Lake for years to come.
Vanderkmap is untamed wilderness. Respect the wildlife you see (and you WILL see wildlife). Keep a safe distance to ensure your safety and the safety of our fellow animal residents.
Fireplaces, Woodstoves and Firepits
There’s just something about the crackle and smell of a campfire…we agree. Fires are welcome in any functioning and clearly designated fireplace, woodstove or outdoor fire pit. We have provided some wood for burning. Cutting wood from the forest in strictly prohibited (and will result in a smoky fire). You are liable for any damages caused by indoor or outdoor fires.
Indoor fires: For fireplaces please make sure dampers are open before starting fire. Please use provided fire starter logs to start indoor fires and not papers/cardboard/garbage as these can start chimney fires. Do not burn fires with fireplace or woodstove doors open.
Firepits: Please keep fires small and contained within existing firepits only. DO NOT modify or create your own fire pit. No fires in any other locations are permitted. Make sure fires are completely extinguished when unattended.
